Paperless-ngx: Koniec chaosu s dokumentmi

Ako každý, mal som dokumenty rozsypané všade. Časť žila v Gmaili, niečo na Google Drive, fyzické faktúry v škatuli niekde v skrinke, fotky dokladov v mobile. A keď som niečo potreboval nájsť — záručný list alebo starú faktúru — vždy to trvalo dlhšie, než by malo. Začal som hľadať riešenie a narazil som na Paperless-ngx.

Prvý raz som ho skúšal pred asi dvomi rokmi. Musím byť úprimný — vtedy to nebolo také jednoduché. Rozhranie bolo menej vybrúsené a nastavenie niektorých vecí si vyžadovalo viac trpezlivosti. Dnes je to iná liga. A navyše — pribudla AI, ktorá zmenila hru.

Ako dostať dokumenty dnu

Toto bola moja prvá otázka: ako preniesť roky nahromadených dokumentov do jedného systému bez toho, aby som stratil prehľad? Ukázalo sa, že Paperless-ngx má na to viac spôsobov naraz.

Prepojenie s Gmailom funguje cez Google App Password — bežné heslo tu nestačí, keďže Gmail vyžaduje špeciálne heslo aplikácie pre IMAP prístup. Nastavíš ho raz v Google účte a Paperless si odtiaľ automaticky sťahuje prílohy podľa tvojich pravidiel. Nová faktúra príde emailom? Paperless ju stiahne, analyzuje a zaradí — bez tvojho zásahu.

Fyzické dokumenty riešim cez mobilnú aplikáciu. Odfotím a odošlem — OCR sa postará o zvyšok. Formáty PDF, Word, Excel, obrázky — Paperless rozpozná všetko.

Čo je OCR?

Optical Character Recognition — technológia, ktorá z obrázku alebo skenu vytvorí prehľadávateľný text. Vďaka tomu môžeš v Paperless vyhľadávať aj v naskenovaných dokumentoch, nielen v natívnych PDF.

Kategorizácia a tagy — poriadok, ktorý funguje

Keď sú dokumenty v systéme, treba ich usporiadať. Paperless používa kombináciu korešpondentov (kto dokument poslal), typov dokumentov (faktúra, zmluva, záručný list…) a tagov. Spolu to tvorí systém, v ktorom sa dá veľmi rýchlo zorientovať.

Keď som začínal, prešiel som ručne niekoľko týždňov starých dokumentov a všetkému som priraďoval kategórie manuálne. Fungovalo to, ale bolo to zdĺhavé. Dnes by som to spravil za pár hodín — vďaka AI.

Čo som zistil po dvoch rokoch

Paperless-ngx nie je len digitálny archív. Je to systém, ktorý sa zlepšuje s tým, ako ho používaš — čím viac dokumentov má, tým lepšie navrhuje kategórie a korešpondentov. A s AI integráciou to prestalo byť len o ukladaní — začal som sa aktívne pýtať na obsah svojich dokumentov.

Dnes mi trvá nájdenie akéhokoľvek dokumentu menej ako 10 sekúnd. Škatuľa so záručnými listami stále stojí v skrinke, ale posledný raz som do nej siahol pred viac ako rokom.

Paperless-ngx je self-hosted riešenie — za zálohy zodpovedáš ty. Dôrazne odporúčam nastaviť automatické zálohovanie databázy aj priečinka s dokumentmi, ideálne na externé médium alebo offsite.

Wie jeder hatte ich meine Dokumente überall verstreut. Ein Teil lebte in Gmail, etwas auf Google Drive, physische Rechnungen in einer Schachtel irgendwo im Schrank, Fotos von Belegen im Handy. Die Verbindung mit Gmail funktioniert über ein Google App Password — das normale Passwort reicht hier nicht, da Gmail für IMAP-Zugriff ein spezielles App-Passwort erfordert. Du richtest es einmal in deinem Google-Konto ein, und Paperless lädt Anhänge automatisch nach deinen Regeln herunter. Neue Rechnung per E-Mail? Paperless lädt sie herunter, analysiert und sortiert sie — ohne dein Zutun.

Physische Dokumente löse ich über die mobile App. Fotografieren und absenden — OCR erledigt den Rest. Formate wie PDF, Word, Excel, Bilder — Paperless erkennt alles.

Was ist OCR?

Optical Character Recognition — Technologie, die aus einem Bild oder Scan durchsuchbaren Text macht. Damit kannst du in Paperless auch in eingescannten Dokumenten suchen, nicht nur in nativen PDFs.

Kategorisierung und Tags — Ordnung, die funktioniert

Sobald Dokumente im System sind, müssen sie geordnet werden. Paperless verwendet eine Kombination aus Korrespondenten (wer das Dokument gesendet hat), Dokumenttypen (Rechnung, Vertrag, Garantieschein…) und Tags. Zusammen ergibt das ein System, in dem man sich sehr schnell zurechtfindet.

Als ich anfing, habe ich wochenlang manuell alte Dokumente durchgearbeitet und alles manuell kategorisiert. Es hat funktioniert, war aber zeitaufwändig. Heute würde ich das in ein paar Stunden erledigen — dank KI.

Was ich nach zwei Jahren festgestellt habe

Paperless-ngx ist nicht nur ein digitales Archiv. Es ist ein System, das sich verbessert, je mehr du es verwendest — je mehr Dokumente es hat, desto besser schlägt es Kategorien und Korrespondenten vor. Mit KI-Integration ist es nicht mehr nur ums Speichern gegangen — ich habe angefangen, den Inhalt meiner Dokumente aktiv abzufragen.

Heute dauert es weniger als 10 Sekunden, um ein beliebiges Dokument zu finden. Die Schachtel mit Garantiescheinen steht noch im Schrank, aber zum letzten Mal habe ich vor mehr als einem Jahr hineingegriffen.

⚠️ Datensicherung

Paperless-ngx ist eine self-hosted Lösung — du bist für Backups verantwortlich. Ich empfehle dringend, automatische Backups der Datenbank und des Dokumentenverzeichnisses einzurichten, idealerweise auf einem externen Medium oder offsite.

Like everyone, I had documents scattered everywhere. Some lived in Gmail, some on Google Drive, physical invoices in a box somewhere in a cabinet, photos of receipts on my phone. And whenever I needed to find something — a warranty card or an old invoice — it always took longer than it should. I started looking for a solution and came across Paperless-ngx.

The first time I tried it was about two years ago. I have to be honest — back then it wasn't as straightforward. The interface was less polished and setting things up required more patience. Today it's a different league. And on top of that — AI came along and changed the game.

Connecting with Gmail works via a Google App Password — your regular password won't work here, since Gmail requires a special app password for IMAP access. Set it up once in your Google account and Paperless will automatically download attachments according to your rules. New invoice via email? Paperless downloads it, analyses it and files it — without your intervention.

I handle physical documents through the mobile app. Take a photo and send it — OCR takes care of the rest. PDF, Word, Excel, images — Paperless recognises everything.

What is OCR?

What I found after two years

Paperless-ngx is not just a digital archive. It's a system that improves as you use it — the more documents it has, the better it suggests categories and correspondents. With AI integration it stopped being just about storage — I started actively querying the content of my documents.

Today it takes me less than 10 seconds to find any document. The box of warranty cards still sits in the cupboard, but the last time I reached into it was over a year ago.

⚠️ Backups

Paperless-ngx is a self-hosted solution — you are responsible for backups. I strongly recommend setting up automated backups of both the database and the document folder, ideally to external media or offsite.
